Warren Averett Staffing & Recruiting is seeking an Executive Assistant to join an established company in Huntsville, AL. The Executive Assistant will provide executive level administrative support to the CEO, including the managing of calendars and meetings, coordinating travel, and completing business and personal projects large and small.

Responsibilities

  • Manage and maintain CEO’s calendar by scheduling travel and conferences, making business and personal appointments, and making changes to appointments.
  • Serve as meeting owner for meetings scheduled by CEO. Prepare agenda before the meeting in advance by soliciting topics from attendees, prioritizing topics, communicating the agenda, and making sure that any outcomes from the meeting are tracked to completion. Also, book conference rooms and/or virtual meeting rooms (or dial-ins), enter all relevant information in the CEO’s calendar, and invite the attendees
  • Identify domestic and international travel needs and book flights, car service, restaurant reservations, hotel reservations, etc.
  • Prepare reports, collect and analyze information; prepare presentations for management and board meetings.
  • Transcribe handwritten notes
  • Prepare executive responses to routine memos, letters, or correspondence.
  • Ensure CEO is made aware of employee events
  • Assist CEO with all manner of personal projects, from picking up dry cleaning to shopping for gifts

Requirements

  • 5+ years administrative support at an executive level
  • Active Executive Assistant certification or the ability to obtain certification (IAAP, CAP, ASAP, etc)
  • Experience with G-suite, including Google Calendar
  • Proficient on a Mac platform
  • Experience booking both domestic and international travel for executive leadership
